When a server goes down in the middle of a workday, or your imaging suddenly stops talking to your practice software, the schedule stops with it. Chairs sit empty, your front desk starts apologizing, and patients wait. In a dental practice, downtime is not an inconvenience, it is lost production you never get back. What a practice really needs to prevent that is not a distant help desk in another state that treats your office like a ticket number in a queue. It needs a provider who knows your practice, knows your systems, and actually picks up the phone when you call.
That is exactly how we work, and we want to be upfront about what we are and what we are not. We are not a managed-IT call center, and we do not pretend to be one. Our model is hands-on: real technicians based here in the Pacific Northwest who know your office by name, reachable directly, keeping the systems you run on every day up, current, and protected. We have found over the years that this suits dental practices far better than the impersonal, everything-outsourced approach, and our clients tell us the same.
How our support works
Here is how our support actually works day to day. Every client is assigned a technician, and you get that technician’s cell phone number. You make your own appointments and you handle issues directly with the person who already knows your office, your setup, and your history, rather than starting from scratch with a stranger every time something comes up. If your assigned technician is ever unavailable, our phone and paging system immediately notifies the rest of our technicians, so you are never left waiting on one person’s calendar or vacation schedule. It is a bit different than calling a receptionist or working through a call center, and we know it. But our clients love it, plenty of them simply text us when something comes up, and it works.
Most support happens the same day, handled remotely or over the phone, because we genuinely value your and your staff’s valuable time and we would rather solve your problem in the next hour than schedule a visit for next week. For emergencies, our response is same day, and we are available around the clock, seven days a week, for the kind of emergency that cannot wait until morning. When an issue truly needs someone on site, we dispatch a technician, typically within hours and often the same day.
Time and materials, or a service plan
There are two straightforward ways to work with us, and you can choose whichever fits your practice. You can engage us on a time-and-materials basis, paying for the help you use when you use it, with no ongoing commitment. Or you can set up a service plan for steadier, ongoing coverage. We do offer maintenance plans, but we will be honest with you: we have found that most of our clients actually prefer the time-and-materials approach, and we are glad to work either way. We can work within your budget regardless of which you choose, so tell us what makes sense for your office and we will build around it.
What we cover
Alongside that hands-on support for the systems your practice runs, we manage your cloud backups and provide antivirus, the ongoing safeguards that quietly keep your data protected between service calls. We want to be clear about the shape of this, because being accurate matters more than sounding bigger than we are: this is focused, dental-specific support and protection, not a full outsourced IT department that runs everything remotely and hopes for the best. That focus is precisely what lets us respond fast and actually know your office when we do.
One more capability worth mentioning, because a growing number of practices need it. If you are running more than one location, we specialize in setting up secure VPNs between your offices, so your team can share systems and work across sites without ever putting your patient data at risk in transit. If you are thinking about a second location, talk to us early, the networking is much easier to plan before you sign a lease than after.
Connecting two locations
“Hands-on” gets used loosely, so here is what it means with us. It means that when you call, you reach someone who has already been inside your office, who knows which server sits in which closet and which of your systems tends to act up. It means we are not troubleshooting your practice from a blank slate every time. That accumulated knowledge of your specific office is the thing a rotating call center can never build, and it is why our clients tend to stay with us for the long haul rather than switching providers every couple of years chasing a lower rate. Continuity is its own form of reliability. We are always glad to talk it through with you first, with no obligation.
